Position Title: Executive Assistant to Executive Director
Location: Hybrid: Acton, CA & Remote, 2 days average onsite
Reports To: Executive Director
Rate: $30 - 35/hr
Hours: 25 - 30/wk

We are currently seeking an Executive Assistant to join our leadership team and provide essential support to our Executive Director. This role is an exciting opportunity to contribute to the impact of a growing organization focused on social change.
Position Overview:
The Executive Assistant (EA) will serve as a key administrative partner to the Executive Director (ED), supporting scheduling, key correspondence, project management, and daily operations. The EA will also represent the Executive Director in communications with staff, donors, community partners, and external stakeholders. This position requires a proactive, detail-oriented individual with excellent communication skills and a commitment to equity and justice.
Key Responsibilities:

Administrative Support: Provide high-level administrative support to the Executive Director, including calendar management, scheduling, travel arrangements, and preparing meeting materials.

Communication & Liaison: Serve as a primary point of contact for the Executive Director, both internally and externally. Draft correspondence, manage calls, and facilitate timely communication.

Project Management: Assist in managing key organizational projects, ensuring that deadlines are met and tasks are completed efficiently.

Event Coordination: Assist in planning and executing organizational events, board meetings, and other high-level functions.

Data Management: Maintain and update organizational records, files, and databases. Ensure proper documentation and confidentiality of sensitive information.

Collaboration: Work closely with senior leadership, staff, and external partners to align efforts across the organization and support overall organizational goals.

Diversity and Equity Advocacy: Ensure all organizational communications and operations are inclusive, culturally responsive, and promote diversity, equity, and inclusion.
Qualifications:

Experience: At least 5 years of experience in executive assistance, office management, or a related field, preferably in a nonprofit or mission-driven organization.

Skills: Strong organizational, time management, and multitasking abilities. Excellent verbal and written communication skills.

Technology Proficiency: Skilled in Microsoft Office Suite, Google Workspace, project management tools (Basecamp, Trello, etc), and comfortable with virtual meeting platforms (Zoom, Microsoft Teams).

Cultural Competency: Deep understanding of cultural dynamics, particularly in BIPOC communities. Ability to navigate and build relationships with diverse groups.

Commitment to Social Justice: A demonstrated commitment to diversity, equity, and inclusion, as well as experience in working within or with organizations that center BIPOC communities.
Preferred:
- Experience in a nonprofit organization.
- Knowledge of grant management or fundraising operations.
- Fluency in a second language (particularly Spanish, Mandarin, or any language spoken by your community).
